How are your your clubs holding your AGM's during lockdown? I have just received an email confirming ours is going to be done online using zoom, should be fun.

Well it was a very quick meeting compared to normal. Only about half the normal number of attendees and the only hiccup was when there was a draw in the voting and it had to be redone.

Ours is this coming week, again via Zoom. Our Captain retires this year and the Vice takes over. Interesting to see how that takes place.

Prior to our AGM
1. All proposals, with some details, could be sent online to the office .
2. The Agenda and Statement of Accounts were emailed to members.
3.If anyone had any questons or suggestions they were to be emailed to the offive at least 24 hrs before the meeting. This included any questions on the accounts.
4. We received a confirmation email with a link to any proposals that had been submitted and a llink to access the meeting. We were advised to log in at least 20 minutes before the meeting started in case there were any issues with connection speed or set up. We had people that were still logging in 10 minutes after the meeting started. For those that logged in early a copy of the Agenda was displayed

Our Captain left the club before his term had expired so our meeting would be slightly different from yours.
Just before the meeting started the agenda on the screen was replaced by 5 smaller screens occupied by
1. The President.
2.The New Captain. The Vice Captain had taken over when the Captain left so had been performing his duties.
3.The New Vice Captain.
4.The Hon Treasurer.
5. The Secretary.
These were the only people to speak.
When they appeared the members mic's were muted for the duration of the meeting. You could still use the text chat function.

The New Captain started the meeting and the Agenda was followed.

If there were any proposals that required a proposer and seconder it just required a a couple of members to press the "hand" near the bottom of the zoom screen.
If any votes were to be cast a box would a appear with the options for you click on. The votes for and against were automatically counted by the system.
In the case of election of committee members a box appeared with the names of all who had been proposed and clicked on as many as there were vacancies or if you only wanted to vote for 1 you only clicked that person. The votes were again automatically counted.

Any Questions or Suggestions that had been sent in were read out and if the answer couldn't be given straight away they would be passed on to the appropriate committee section.

The Captain closed the meeting.
